Terms and regulations AS Tallink Grupp is a passenger and cargo ship operating company that represents Tallink Silja Line brands. Read more about the terms and regulations of freight transport. AS Tallink Grupp currently owns 14 ships that sail on the total of 6 routes. AS Tallink Grupp also owns three hotels in Tallinn and one in Riga. Tallink Cargo transports the following cargo units: Trucks Trailers Special purpose vehicles Import/export cars and chassis Terms of Transportation Cargo Terms and Conditions Cargo Declaration Instructions for Entering Värtahamnen Port Between 18:00–07:00 Trailer Pick-Up and Drop-Off Procedure at Helsinki West and South Ports Trailer Delivery/Drop-Off at Paldiski Port Instructions for Entering Kapellskär Port Outside of Opening Hours Driverless Unit Delivery/Pick-Up at Kapellskär Port Rules for booking and selling freight tickets These rules for booking and selling freight tickets apply to vessels operated by AS Tallink Grupp or its subsidiary (hereinafter TALLINK). Tallink reserves the right to change the ticket prices and timetables without notice. I. Booking of freight tickets 1. Booking is the execution of the order requested by the customer in Tallink freight service booking system. 2. Booking operations are not financial operations. 3. All bookings, changes to bookings and their cancellations are made by the customer orally or in writing by communicating these to Tallink. 4. The bookings forwarded to Tallink, their changes or cancellations, are sent using such means that allow Tallink to check the receipt of the message, if necessary. If requested by the customer, the freight transport operator confirms the booking in writing. 5. The bookings of customers are created either for specific or waiting places. All bookings are numbered. 6. The booking for a specific place is an order that is guaranteed if there are specific free line metres on the ship’s car deck. The booking for a waiting place is an order that is processed after the end of free line meters. 7. The bookings in the waiting areas will be moved to specific places according to the available line metres on the ships. Tallink will inform the customer separately of the aforementioned changes. 8. In order to make the booking, the customer provides the following information to Tallink: 1) Name of the customer ordering the transport, name of the consignee, name of the payer for the transport 2) Type of vehicle, length,*, national number plate* 3) Product name and weight 4) Method and place of payment * are not mandatory when transferring long-term bookings 9. Bookings are classified according to their nature and duration: 1) One-time bookings 2) Long-term bookings 10. In case of one-time bookings, the customer is obliged to provide Tallink with all data specified in clause 8. 11. The number of cargo units to be transported on specific ships is agreed upon for a certain period of time in long-term bookings. Long-term bookings are always sent to Tallink in writing. In case of changes in the booking rates, the customer is obliged to immediately inform Tallink in writing. 12. The customer should reconfirm long-term bookings at the booking centre in the place of departure no later than at the following times: 11:00 Mon-Fri – all departures until the next day’s 13:30 departure, 11:00 Fri – departures from 16:30 on Saturday until 13:30 departure on Monday. The times are according to Estonian time. 13. After the times specified in the previous clause have passed, Tallink has the right to cancel the bookings not confirmed by the customer. 14. Tallink has the right to cancel systematically (three weeks) unused long-term bookings. 15. When confirming a long-term booking, the customer informs the type of means of transport, exact length, registration numbers, description and weight of the goods and the receiver of the goods. 16. If the means of transport contains dangerous goods (IMDG) or needs to be connected to the ship’s electrical system, this should be notified of when confirming Tallink’s booking. Otherwise, Tallink does not guarantee the provision of the desired service. 17. On the basis of the bookings confirmed by the customer, freight tickets are issued only in the name of the customer. The customer does not have the right to transfer the booking confirmed to him/her to a third party. 18. All bookings should be purchased as freight tickets no later than 1 hour before the ship’s departure. 19. All bookings that have not been purchased as freight tickets one hour before the departure of the ship will become invalid and the vacant places will be sold. II. Sale of freight ticket 20. Freight ticket sales operations are financial operations. 21. The freight ticket is printed out from Tallink’s computer system after the sales operation has been completed. 22. The booking number is indicated on the printed freight ticket and all information provided in clause 8 of this procedure regarding the means of transport and the customer has been provided. 23. In case of pre-sale of the freight ticket (pre-sale is carried out only when paying for the ticket in advance and before the start of registration on the ship), it is allowed to leave out only the information about the weight of the goods. The latter should be specified immediately before the ship departs. In case of pre-sale, the customer pays an additional fee for the weight of the goods to the cash desk of the freight service, for which a receipt is issued to the customer. 24. The tickets paid in advance can be cancelled either on the day of the ticket sale or up to 1 month after the date of the sold trip. Tallink returns the paid money to the customer’s bank account. 25. The customer has the right to use tickets paid in advance for up to 3 (three) months, taking into account the date of the registered trip. III. Registration of the means of transport 26. The registration of the means of transport for ships starts 2 hours and ends 15 minutes before the departure of the ship, excluding the port of Paldiski, where the registration of means of transport ends 30 minutes before the departure of the ship. 27. The trailers should be ready for loading to the ship 1.5 hours and self-propelled transport vehicles 1 hour before the ship’s departure. The vehicles booked for specific places that are delayed will not be guaranteed to be loaded onto the ship and they will lose their place to vehicles in the waiting line. 28. In case the booked means of transport is not registered on the ship based on the freight ticket or the means of transport is not ready to be loaded onto the ship on time, Tallink should be informed of this no later than 1.5 hours before the ship’s departure. In case of non-fulfilment or improper fulfilment of the above-mentioned requirement by the customer, Tallink has the right to require the payment of the stipulated transport fee from the customer. 29. The type, length and width of the vehicle should comply with the information provided in the booking. If these differ from the initial data, Tallink does not guarantee the access of the means of transport to the ship. 30. The registration of the means of transport to the ship is carried out on the basis of sold freight tickets. When registering the means of transport, the customer’s representative is obliged to complete the goods weight declaration (Appendix 1) and submit it as signed to Tallink. The customer’s representative is responsible for the correctness of the data provided in the aforementioned declaration. 31. If the cargo weight declaration is not submitted, the means of transport will not be registered on the ship. Tallink will not reimburse the customer for the expenses incurred due to incorrect data being submitted by the customer in the declaration. 32. The ship cards are issued to the customer for the services indicated on the freight ticket. The passenger, meal and car card are issued to the truck driver. Truck drivers are served in the Drivers Lounge on Shuttle ships of Estonia-Finland route. The coupon can also be used when buying food in Fast Lane. 33. All ship cards issued on the basis of a freight ticket are valid only on the date of registration of the means of transport in the registered ship. Ship cards cannot be exchanged for money or another trip. 34. In case the customer’s means of transport for reasons beyond Tallink’s control (customs formalities, obstacles at the border) could not make the registered trip, the customer’s representative should return all ship cards to Tallink no later than half an hour after the ship’s departure. If the ship cards are not returned, the service is considered to have been provided and Tallink has the right to charge for the service. IV. Dangerous (IMDG) goods 35. Dangerous goods declarations should be forwarded to Tallink’s freight service according to the port of departure as follows: 1) On the Finnish route: Tallinn-Helsinki daytime departures – no later than 3.5 hours before the ship’s departure, Tallinn-Helsinki evening/night departures – no later than 14.00 on the day of the ship’s departure, Helsinki-Tallinn evening ships – no later than 13.00 on the day of the ship’s departure, Helsinki-Tallinn morning departure – no later than 16:00 on the day before the ship’s departure 2) On the Swedish route: Evening departures – no later than 12:00 on the day of the ship’s departure. Morning departures – no later than 12:00 on the day before the ship’s departure. 36. After the declaration of dangerous goods, the means of transport with dangerous goods cannot change the ship without prior new declaration of the dangerous goods. V. Registration of the means of transport in waiting places 37. The means of transport booked for waiting places should report about their arrival to Tallink freight cash desk for registration on the ship. The waiting places are sold to the ship according to the order of arrival of the means of transport from the beginning of the registration to the ship and according to the available space on the ship. The registration of the aforementioned means of transport to the ship is carried out in accordance with the procedure set forth in clauses 26 – 34 of this regulation, taking into account the deadlines set forth therein. 38. The means of transport booked for the waiting places are not automatically included in the next cruise, but the customer should submit a new booking order. VI. Force majeure situation 39. In case of force majeure Tallink’s representatives are obliged to immediately inform the customer of it in writing or by phone. Force majeure is any reason or event that Tallink could not influence and prevent, and the consequences of which Tallink could not avoid by taking appropriate measures. 40. The customer evaluates the situation and forwards to Tallink the ranking of the cars to be transferred in order of importance for the customer. Where possible, this is done in writing, except in situations where the response should be extremely operational or takes place outside of business hours. 41. The employees of Tallink freight service are obliged to adhere to the ranking of the cars to be transported provided by the customer. Delivery/entry of the vehicles without a driver delivered by Tallink Grupp AS to the territory of Vanasadama D-terminal Registering the transfer of the means of transport (vehicle): 1. The vehicle, which is delivered to the territory of the port, should have a booking made in advance at Tallink Cargo: booking.cargo@tallink.ee or +372 612 8686. 2. The consignor should send an e-mail to loadingoperator@tallink.ee stating: the name of the company/person sending the vehicle, first and last name and personal identification code of the driver delivering the vehicle, vehicle registration number. 3. Access to the territory of terminal D is through corridor no. 1, which is located at cargo check-in gates. If the vehicle number has been previously registered (see clause 2), the barrier at the gate opens automatically. 4. The sender of the vehicle hands over the goods to an employee of TLG Stividor OÜ, who prepares an inspection certificate for the means of transport (vehicle). If the vehicle requires any special handling when starting or driving, the consignor of the vehicle should prepare a written instruction that would also be understandable for the stevedore of Helsinki/Stockholm who handles the unloading of the vehicle at the port. More about the terminal Information Receiving vehicles Mo–Fr 7.30–21.00 Sa 9.00–17.00 Su 10.00–21.00 +372 516 4376 The means of transport (vehicle) should be delivered to the port no later than 2 hours before the ship’s departure. When picking up the vehicle on foot 1. The recipient of the vehicle should send an e-mail to the address tlg.cargo@tallink.ee in advance, stating the first and last name and personal identification code of the person picking up the vehicle. 2. If the person/company picking up the vehicle is not the recipient of the vehicle on the basis of the delivery document, an authorization from the recipient should be presented or sent to receive the vehicle. 3. The drop-off point of TLG Stividor OÜ on the D-terminal territory can be accessed through the foot gate next to D-terminal. When picking up a vehicle by car When picking up a vehicle at D-terminal by car, turn from Reid road and drive in the direction of cargo check-in – official entry no. 1 (see the scheme). In order to enter the territory of D-terminal port by car, it is necessary to send the name of the recipient of the vehicle, the registration number of the entering car, the name of the driver and the personal identification code to the e-mail tlg.cargo@tallink.ee in advance (at least 30 minutes before). The driver receiving the vehicle should have an identity document or authorization from the person/company receiving the vehicle. Storage of means of transport (vehicles): Free until 12:00 on the day after arrival Each subsequent day up to the 2nd day is paid (per unit per day): From the 3rd day the storage rates are doubled Tariffs for the storage and transshipment of dangerous goods (including vehicles transporting dangerous goods) are subject to a coefficient k=1.5.
